Venues & Locations
Venues are specific areas within a property — for example, Floor 3, Car Park B, or Reception. They let you assign tasks to exact locations rather than just a building name, which matters for large properties where different areas require different crews and schedules.
Why venues matter
Venues are the foundation of accurate operations in HelpYard:
- Tasks are assigned to a venue, not just a property — workers know exactly where to go
- QR check-in is venue-specific, so you know which area was cleaned and when
- Reports can be broken down by venue to identify which areas take longest or have the most issues
Add a venue
- Open a property
- Click the Venues tab
- Click Add Venue
- Enter: name, type, area (sqm), and floor number (optional)
- Save
The venue is created immediately with a unique location code.
Venue types
| Type | Description |

| Floor | Specific floor level (e.g. Floor 3, Basement Level 1) |
| Common Area | Shared spaces not tied to a floor |
| Car Park | Outdoor or multi-deck parking areas |
| Rooftop | Roof-level areas or garden terraces |
| Lobby / Reception | Ground floor entrance and reception desk areas |
| Gym / Amenity | Fitness centres, pools, prayer rooms, or other amenity spaces |
Location codes and QR codes
Each venue gets a unique location code automatically. This code is printed on the QR code sticker that goes up at the venue entrance.
Printing QR codes
- Open the venue from the Venues tab
- Click Print QR Code
- A printable PDF opens — print at A5 or A4 size and laminate for durability
Place QR codes at the main entry point to each venue so workers can scan on arrival. For large floors, place multiple QR code stickers at key access points.
Editing a venue
Open the venue from the Venues tab and click Edit. You can update the name, type, and area. The location code and QR code remain the same after edits.
Deactivating a venue
If a venue is temporarily closed (e.g. under renovation) or permanently removed:
- Open the venue
- Click Edit → Deactivate
Deactivated venues are hidden from task creation dropdowns but all historical records are preserved. Reactivate from the same menu when the venue is back in use.
