Scheduling
HelpYard scheduling lets you plan which workers are on which property on any given day. Shifts inform task assignment, attendance expectations, and late-arrival detection.
Who can schedule
Admins and Provider Managers can create and edit shifts. Field workers can view their own upcoming shifts but cannot modify them.
Create a shift
- Go to Workforce → Scheduling
- Select a date or date range
- Click Add Shift
- Choose: worker, property, start time, end time
- Save
The shift appears on the schedule grid immediately.
Recurring shifts
For workers with a regular schedule:
- Create a shift as above
- Toggle Repeat
- Choose frequency: daily, weekly, or custom days of the week
- Set an end date or leave open-ended
Recurring shift instances are created in advance and can be individually edited or deleted without affecting the rest of the series.
Shift conflicts
HelpYard will warn you if a worker is already scheduled elsewhere at the same time. The warning shows the conflicting shift so you can decide whether to proceed or reassign.
How shifts relate to tasks
Shifts and tasks are linked by property. When you assign a task to a worker, the platform checks whether that worker is scheduled at that property on the task’s due date. Workers scheduled at a property are prioritised in the assignment dropdown.
A worker can be assigned a task even without a shift, and can have a shift without any tasks assigned — they are independent but complementary.
Viewing the schedule
Switch between Day, Week, and Month views using the controls at the top of the scheduling page. The Week view is the most useful for planning coverage: it shows all workers as rows and all days as columns, making gaps immediately visible.
Printing and exporting the schedule
Use the Export button at the top right of the scheduling page to download the current view as a PDF. This is useful for posting printed schedules at a site office or sharing with a client.
