Organisations
HelpYard supports two types of organisation. Understanding the difference is important before setting up users and properties.
| Type | Role | What they manage |
|---|---|---|
| Provider | FM company delivering cleaning services | Workers, tasks, schedules, properties they service |
| Client | Company that has contracted cleaning services | Their properties, contracts, and service history (read-only via portal) |
Provider vs client in practice
A Provider organisation has access to the full operations platform — workforce management, task dispatch, scheduling, reporting, and admin tools. Provider Managers and Field Workers belong to a Provider.
A Client organisation exists to group client properties and users. Client users can only see the client portal: their properties, task history, service requests, and invoices. They cannot see other clients’ data or any operational data.
Create an organisation
- Go to Admin → Organisations
- Click New Organisation
- Select type: Provider or Client
- Fill in:
- Organisation name
- Trade licence number (required for UAE compliance)
- Primary address
- Emirate
- Contact details
- Save
Organisation status
| Status | Meaning |
|---|---|
| Active | Organisation is operational, users can log in |
| Inactive | Organisation is paused — users cannot log in but data is preserved |
To change status, open the organisation and click Actions → Change Status.
Organisation contacts
Each organisation can store:
- Primary contact (name, email, phone)
- Secondary contact
- Website URL
- Social links (LinkedIn, WhatsApp, Instagram, Facebook)
These are for internal reference and CRM purposes — they are not displayed to other clients.
Viewing an organisation’s properties
Open any organisation from the list and click the Properties tab. This shows all properties owned by (client orgs) or serviced by (provider orgs) this organisation, along with their active contracts and open task count.
Linking users to organisations
Users are linked to an organisation when created. To change an organisation link: edit the user’s profile and select a different organisation. Note that changing an organisation may affect which properties and tasks the user can access.
Deleting an organisation
Organisations with active users, open tasks, or live contracts cannot be deleted. Archive them instead via Edit → Archive Organisation. Archiving:
- Hides the organisation from active views
- Preserves all historical data
- Logs out all users in that organisation immediately
