Creating Tasks

A Task is a unit of cleaning work — it describes what needs to be done, where, and by whom. Every task is scoped to a property and venue, which ensures workers arrive at the right location and GPS check-in is accurate.

Create a task

  1. Go to Tasks in the sidebar
  2. Click New Task
  3. Fill in the required fields:
    • Title — be specific: “Daily clean — Office B, Floor 4” is better than “Cleaning”
    • Property and venue — narrows the task to an exact location
    • Assigned worker(s) — only workers linked to that property appear in the list
    • Due date and time — used for overdue detection and shift planning
    • Priority — Low / Normal / High / Urgent
  4. Optionally attach a checklist template
  5. Optionally link to a contract
  6. Click Create Task

The task is immediately visible to the assigned worker in their task list.

Recurring tasks

When you toggle Recurring, set the repeat frequency and an end date (or leave it open-ended). Each recurrence is created as a separate task instance so you can track completion individually. To stop a recurring series early, open any instance and click End Series.

Attaching a checklist

Select a template from the Template dropdown when creating the task. All checklist items from that template load automatically. Workers complete each item on their mobile device as they work. Checklist completion is recorded against the task and visible to supervisors in real time.

Linking to a contract

If the task is part of a service agreement, link it to the relevant contract. This ties the task’s completion data to the contract record, which feeds into billing reports and contract performance summaries.
