Client Dashboard

The Client Portal is a read-only view available to client users. It gives clients visibility into the cleaning operations at their properties without giving them access to internal operational data.

How clients log in

Clients use the same magic link system as all HelpYard users. There is no password — clients receive a login link by email each time they want to access the portal:

  1. The client goes to app.helpyard.ae
  2. They enter their email address and click Send Link
  3. They receive an email with a login link (valid for 10 minutes)
  4. They click the link and land on their dashboard

What clients can see

  • Properties — all properties contracted to their organisation, with address and active contract summary
  • Active tasks — tasks currently in progress at their properties right now
  • Task history — completed tasks with timestamps, worker initials, and completion notes
  • Service requests — requests they have submitted and their current status
  • Invoices — billing history uploaded by the FM company

What clients cannot do

Clients cannot:

  • Create, edit, or cancel tasks
  • Manage or view worker details
  • Access other clients’ data
  • See internal operational data (scheduling, workforce profiles, system settings)

Dashboard metrics

The client dashboard shows key performance indicators for their properties:

  • Tasks completed this month
  • On-time completion rate across their properties
  • Number of active service contracts
  • Open service requests

These numbers update with the same 5-minute refresh cycle as the main dashboard.

The client portal has a simplified navigation:

  • Overview — the metrics dashboard
  • Properties — list of their contracted properties
  • Service Requests — submit and track requests
  • Invoices — billing history

If a section is not visible, the feature flag for that section may not be enabled. Contact your HelpYard admin.

Granting client access

To give a client contact access to the portal:

  1. Create an organisation with type Client (see Organisations)
  2. Create a user with role Client linked to that organisation
  3. Ensure the Client Portal feature flag is enabled
  4. The user’s invitation email contains their first login link
